How we collect, use and protect personal information.

If you receive care from us

What we hold

  • Your name, address, date of birth and contact details
  • Contact details for your next of kin, GP and any professionals involved
  • Your care plan, risk assessments and consent records
  • Daily notes of each visit and medication records
  • Health information relevant to your care, including conditions, mobility, allergies and medication
  • Funding and invoicing information

Why we are allowed to hold it

Under UK GDPR we rely on Article 6(1)(b), performing our contract with you, and Article 6(1)(c), complying with our legal obligations as a registered care provider. Health information is special category data, and for that we rely on Article 9(2)(h), the provision of health and social care, and Article 9(2)(c) where it is necessary to protect someone's vital interests.

Who we share it with

Only where it is necessary for your care or required by law: your GP and other NHS services, the council funding your care, the Care Quality Commission, safeguarding teams, and emergency services. We do not sell information and we do not use it for marketing.

How long we keep it

Adult care records are kept for eight years after our involvement ends. Records about a child are kept until their 25th birthday, or their 26th if they were 17 when we finished. These periods follow the NHS Records Management Code of Practice. After that, records are securely destroyed.

If you apply for a job with us

What we hold

Your application form and the information in it, your right to work documentation, references, interview notes, and the result of your enhanced DBS check.

Why we are allowed to hold it

We rely on Article 6(1)(b), taking steps at your request before entering a contract, and Article 6(1)(c) for the checks the law requires us to carry out on care staff. For DBS information we rely on Article 10 and Schedule 1 of the Data Protection Act 2018.

How long we keep it

If you are not offered a role, we keep your application for six months and then delete it, unless you ask us to delete it sooner. If you are offered a role, it becomes part of your employment record.

Our application form is hosted on Google Forms, so what you submit is stored on Google's systems as well as ours. Only the registered manager and people involved in recruitment can see it.

If you use this website

This website does not set any cookies, does not run analytics, and does not track you. See our cookies page.

If you send us a message using the form on our contact page, we receive your name, phone number, email if you give one, and your message. The form is processed by Netlify, who host this website. We use it only to respond to you and delete enquiries that do not become anything after twelve months.

Fonts on this site are served by Google Fonts, which means your browser requests files from Google and Google receives your IP address as part of that request.

Your rights

You have the right to ask for a copy of the information we hold about you, to have inaccurate information corrected, to ask us to delete information where we do not have a legal reason to keep it, to object to or restrict how we use it, and to complain.

To make a request, contact the registered manager. We will respond within one month. We will need to be satisfied of your identity first, and where you are asking on someone else's behalf, that you have authority to do so.

Making a complaint

If you are unhappy with how we have handled your information, please raise this with us in the first instance. You also have the right to complain directly to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. Complaining to us does not affect your right to go to the ICO.
